Most landlords that have been in the property management game for any amount of time have at least one horror story to tell! It's part of learning the ropes. However, you can lessen the chance of having a nightmare tenant sign your lease agreement by simply following the proper screening procedure.
While there is no guarantee you won't have a bad apple every now and again, tenant screening goes a long way in sifting through the dregs to finding your perfect tenant.
If you are thinking about renting out a room or your home to someone and haven't done it before, just follow these simple steps to sleep better at night.
1) Have everyone that is renting from you fill out a rental application.
The following is a list of the "must have" information you need in order to screen your applicant BEFORE they sign your lease agreement:
* Full legal name
* Social Security Number
* Current Address
* Duration at current address
* Current property manager/owner's name and phone number
* Current employer and phone number &
* Income verification (this can be a paycheck stub or the top page of their last tax return
2) Make sure that the rental application you give your potential tenant has a clause on it that allows you to run a credit report and background check.
3) Have your prospective tenants sign the application in front of you.
4) Obtain a legible copy of their current driver's license or passport.
* Make sure the name on both the identification and the rental application match.
* Make sure the pictures match too!
* The address on the license must match the last address on their rental application.
5) Obtain a legible copy of their social security card.
* Match it to the one on the rental application.
6) Charge the prospective tenant a non-refundable fee for running their credit check. If they fail the credit check, you don't want this money out of your pocket.
* The amount that you can charge varies by state. For example in California, you cannot charge more than the fee charged to you for running the credit check.
7) Find a quality credit checking service and set up an account with them. There are a few of them online.
Run (at the very minimum) a credit report from one of the three top credit reporting agencies (either Experian, Equifax or Transunion)
TIP: Many of the online resident screening services will want you to run all three and charge you for all three. Although the format of each report will be slightly different, the information on them will remain the same, so only pay for one!
9) Run a public records search (almost always available as an option from the same credit check companies). This will allow you to find out if they have ever been evicted.
TIP: Do not rent to anyone that has ever been evicted! Do not believe their sob story. The courts are very exacting for the reasons someone gets evicted... whatever their side of the story is, obviously the landlord (and the courts) felt differently!
10) Call their previous landlords and ask what kind of tenant they were. You can ask things like:
* Did they pay their rent on time?
* Did you ever have to serve them with an eviction notice?
* Did they follow the rules of your building?
11) Call their current employer to verify that they actually work there. Sounds like common sense, but you'd be surprised by how many people lie on this front. Check to make sure they have worked there since the date they wrote on their rental application.
When you have finished this 11-step process, you will have a very good idea of who you are dealing with. Obviously, it can't guarantee you that a pain-in-the-neck tenant won't slip through the screening process, but you will be well on your way to sifting through the "bad apples".
And, of course, if they pass the rental application process, make sure you have all of your state specific landlord forms: lease agreements, security deposit receipts and everything else in line!
